Off-the-shelf software is cheaper right up to the point where the business has to bend around it. Then it stops being cheaper. Custom software is the opposite trade-off. It costs more to build. What you get back does what you actually need, down to the awkward parts that set your company apart from everyone else in your sector. The exception your biggest customer insists on. The step your industry does backwards for reasons nobody can remember.

Most of the work is in the backend. The systems that hold your data, apply your rules and talk to everything else you run. Web applications and APIs sit on top. It has to keep running for years, so it’s written to be read by whoever maintains it next. You work directly with the person writing it. A question gets answered by someone who knows what the answer costs.

    You get a written scope with a price and a timeline before anything is built. If the scope changes later, that conversation happens before the work rather than after it.

    You get the source, the documentation and a running system. If your own team takes it over later, they can.

03 / When to look elsewhere

Custom software isn’t the right fit for everything.

If a standard product already covers what you need, buy the standard product. Custom software is worth building when the process is your own, or when the tool you would otherwise buy forces a change you don’t want to make.

Large programmes with several teams need more coordination than one developer can give them. Rescue work on a system nobody understands starts with reading rather than typing, so the first invoice buys understanding instead of features. If either of those is where you are, you’ll hear it in the first conversation rather than the fifth.
